How to Navigate and Create Templates 

Learn how to find your existing templates, create new ones, and master merge fields with fallback values to personalize your outreach.

Templates are a fantastic way to save time and keep your communication consistent. Whether you are sending a quick text or a detailed email, GGMSCRM makes it incredibly easy to build and manage your templates.

In this guide, we’ll walk you through how to navigate your templates, filter through them, and create a brand-new template complete with personalized merge fields. Let's dive in!


How to Navigate and Filter Your Templates

Finding your templates takes just a couple of clicks from anywhere inside the CRM.

  1. Look at the left-hand navigation menu and click on Templates.
  2. This will bring you to your main Templates dashboard, where you can see all the templates currently inside your account.

Pro-Tip on Filtering: If your list of templates starts growing, don't worry! You can easily filter your CRM selections by:

  • Type (e.g., text message vs. email)
  • Body Search (searching for specific words inside the template text)
  • Custom Tags (tags you’ve created to keep things organized)
  • And more!

How to Create a New Template

Ready to build something new? Follow these simple steps:

  1. On the top right of the Templates screen, click the New Template button.
  2. Name your template something clear so you and your team can easily identify it later.
  3. Select the template type. It’s highly important to choose whether this is for an Email or a Text Message, as choosing one over the other will present you with different formatting options tailored to that specific type of communication.

Using Merge Fields and Fallback Values

Personalization is key to great communication! GGMSCRM allows you to use Merge Fields to automatically pull information from your CRM (like a contact's first name) directly into your message.

Here is how to set them up:

  1. Click on the Merge Fields option in the editor.
  2. Select the category and field you want to use. (For example: Click Contact, and then select First Name). You will see a list of all standard fields we’ve installed for you, as well as any custom fields you’ve created on your own.
  3. Set a Fallback Value. A fallback value is a backup word that takes the place of missing information just in case you don't have that specific data for a contact.
  4. How to edit the fallback: To customize your fallback value, simply locate the placeholder text within the brackets and replace everything inside the brackets—including the greater-than and less-than symbols (< >). For example, you can replace it with the word there, so your message reads "Hi there," if the contact's first name is missing.

Previewing and Saving Your Template

Before you launch your template to the world, it’s always a good idea to double-check your work!

  1. Click the Preview button to see exactly how your template will look to your recipients.
  2. Once you are happy with how it looks, click Back and then hit Save.

And that’s it! Your brand-new template is now successfully created and ready to be used across your entire GGMSCRM account. Happy messaging!
